How to Replace Spreadsheet-Based Business Processes
A step-by-step approach to moving a process from spreadsheets into an application.
To replace a spreadsheet-based process: map how the spreadsheets are used today, identify the manual totals and copy-paste steps, design a database and screens around the process, migrate the existing data, and roll out one process at a time while the old spreadsheet stays available for reference.
- Start with the process that costs the most hours or causes the most errors.
- Automatic statuses and totals usually deliver the first big win.
- Keep printable outputs (PDF, Excel) people already rely on.
Step 1: Map the current process
List every spreadsheet, who edits it, which columns are typed by hand and which are calculated, and which documents are printed from it.
Step 2: Find the manual work
Look for totals worked out by hand, data copied between files, statuses updated manually and emails sent to pass information along. These become automatic features.
Step 3: Design the application
Each spreadsheet usually becomes a table in a database, each tab a screen, and each manual total a calculation. User roles decide who sees and edits what.
Step 4: Migrate the data
Clean up duplicates and inconsistent values, then import the history so the new system starts complete.
Step 5: Roll out in steps
Launch one process, train the team, then move the next one. In our CorectaSub project, subscriptions, supplier orders, deliveries and the fleet now run from one system, and supplier orders are summed automatically.
